A free Gmail address is fine for starting out, and quietly expensive once the business is real. Three structural problems arrive with it: customers trust it less, you cannot control deliverability for a domain you do not own, and the inbox belongs to a person rather than the business. Domain email through Google Workspace or Microsoft 365 runs roughly $10 to $20 per user per month12 and fixes all three at once.

Fairly or not, it says small, temporary, or side-hustle, and sometimes it says scam, because anyone on earth can create a free address containing your business name in five minutes. An address at your own domain proves a small but real thing: this business exists enough to own its name. On a quote for thousands of dollars, that small thing moves decisions.
Email providers increasingly decide what reaches an inbox based on sender authentication: SPF, DKIM and DMARC records that say "mail from this business genuinely comes from these servers". Those records belong to a domain, and you cannot set them for gmail.com because you do not own gmail.com. Send invoices from a free address and you are relying on the shared reputation of the world's most impersonated domain, with no way to prove your mail is yours. On your own domain, authentication is yours to set, and your reputation is yours to build.
A free Gmail account is personally owned, full stop. If the staff member who runs it leaves, or the founder who opened it moves on, the business's entire correspondence history, customer list and password-reset control walks out with them. Domain email is owned by the business: accounts are created, handed over and closed by you, and history stays where it belongs. This is the problem people discover exactly once.

Both are excellent at email. The honest tiebreaker is where you live: teams that run on Outlook, Word and Excel belong on Microsoft 365; teams that live in Gmail and Google Docs belong on Workspace. We deploy mostly Microsoft 365 for small businesses because the desktop Office apps and device management tend to matter as teams grow, but a Workspace shop moving for the domain alone loses nothing by staying with Google.

For a brand-new venture, nobody reasonable judges it. Once you are quoting real money, an address at your own domain measurably improves trust, and the cost of getting one is small enough that staying on the free address stops being a savings and starts being a signal.
